Global digital transformation specialists see spike in process efficiency and document completion with eSignature

We sat down with Matthew Pritchard, Vice President Asia Pacific Operations of Agilyx Group, and discussed how using DocuSign has helped instil trust in their partner selection, save money on consumables, and streamline processes for both themselves and their customers.

Walking the talk: an innovative company using innovative tools

“We chose DocuSign because of the inherent trust people have in it and trust is really important to us. Absolutely every interaction a customer has with us has to be based on trust and people know and trust DocuSign,” said Matthew. By using DocuSign for all documents, both Agilyx and their customers are confident that all shared, signed project documentation holds integrity. As a document is multi-handled, whether internally with staff or externally to stakeholders, there can be missed pages, outdated versions, amendments, or missed signatures. With eSignature, there’s no margin for human error – strengthening document integrity from sending-to-signing.

“We've made it a lot easier for our customers. They love just getting DocuSign, being able to search and locate information, read it through, and then just e-sign,” said Matthew, “people know and trust DocuSign.”

Maintaining project momentum with a boost in productivity 

When they’re on a tight deadline, Agilyx’s project managers don’t have days for customers to return completed documentation. DocuSign’s eSignature functionality significantly reduces this wait time, allowing their projects to stay on time and on track.

After receiving a contract, Agilyx’s customers now have the ease of using DocuSign’s eSignature to be able to re-route documents to the right line Manager. This means that Agilyx staff no longer receive requests to re-send project documents, allowing them to maintain project momentum and maintain their customers’ trust. 

The results speak for themselves. Since implementation, Agilyx Group has seen a significant boost in company productivity, reporting that 30.5% of contracts issued using DocuSign eSignature are returned within 1 hour, 64% within 24 hours and 80% within 7 days.

These digitisation efforts have had a ripple effect throughout the entire business. Since using DocuSign, Agilyx customers have benefitted from both time and cost savings through the elimination of the need to print and scan documents. Looking to the future, Agilyx is implementing DocuSign CLM to transform how it generates and stores contracts and order forms. DocuSign CLM will act as a central repository, integrating directly with Salesforce and allowing contracts to be accessible via both systems for greater transparency.

The cost savings of going paperless

Beyond instilling trust and greater productivity, Agilyx Group is reaping the cost-saving rewards of a digitised workflow and reducing their paper, ink, scanning time and posting costs. Since implementing DocuSign’s eSignature, Agilyx Group estimates their savings around AU$54,000 per year.

Moreover, the flexible pricing model, based on consumption rather than licences, was a key factor for Agilyx Group in choosing DocuSign over competitor solutions.

“It was the easiest solution to get through executive leadership. We went with an enterprise subscription and we enabled SSO (Single Sign On) and that was very, very good,” Pritchard said.

Matthew put it succinctly: “We’re a tech company, we shouldn’t be setting up paper forms.” Agilyx Group’s and DocuSign’s similar strategic objectives – to enhance operational efficiency, maintain customer confidence, and strengthen document integrity – has naturally precipitated a collaborative partnership. “When we launched DocuSign, the question was – why did we not do this three years ago?”,  Matthew concluded.
