We spoke to Matthew Pritchard, Vice President, Asia-Pacific & Operations at Agilyx who led the company’s transition to paperless using DocuSign eSignature.

Trust and document integrity at all stages of business

Starting a digital transformation journey is a significant decision and investment for any business. The Agilyx team knows that customers place their trust in them to understand their needs, provide the right technologies and services, and transact their information securely throughout the project. Document security is especially important to their customers in government, non-profit, and financial sectors.

“We chose DocuSign because of the inherent trust people have in it and trust is really important to us. Every interaction a customer has with us has to be based on trust and people know and trust DocuSign,” said Matthew. By using DocuSign for all documents, there is also added reassurance of document integrity. If a customer circulates a document internally and inter-office to numerous stakeholders, the risks increase of a missed scanned page, wrongly attached version, amendments, or missed signature. With eSignature, document integrity is maintained at all times.

 “We've made it a lot easier for our customers. They love just getting DocuSign, being able to search and locate information, read it through and then simply e-sign it,” said Matthew. “Document integrity, such as ensuring proper execution of documents has tremendously improved, we've achieved 100% compliance for document execution. For example, have they signed where they need to sign? When you’re dealing with paper documents you can’t automatically enforce that.”

Boost in productivity: for company and customers

After Agilyx partnered with DocuSign and implemented eSignature, company productivity skyrocketed. Agilyx reported that 30.5% of contracts issued using DocuSign eSignature are returned within 1 hour, 64% within 24 hours and 80% within 7 days.

The ability for customers to re-route documents to the right line manager within their business for e-signing keeps contracts moving – without having to contact the Agilyx team to re-issue the document. It also integrates easily with existing applications via SSO, including Salesforce. 

“We have dramatically decreased document execution transaction time,” said Matthew. “With the Salesforce integration, we’re pushing information to where our people work, and how they work. Sales personnel can access the documents they need within the application they work in”

All departments have now adopted DocuSign into their workflow including sales, relationship managers, operations, finance, legal and ICT. Agilyx is proud to note that 100% of their employee onboarding process is now facilitated by DocuSign. Many employees were already familiar with the software, and happy to be freed from manual tasks to be able to focus on the human-centric parts of their role.  “After installation we had 20% of the company access it via Single Sign On before we announced it. It is that intuitive that our users just self-adopted, it was incredible,” said Matthew.

Looking to the future, Agilyx is implementing DocuSign CLM to transform how it generates and stores contracts and order forms. DocuSign CLM will act as a central repository, integrating directly with Salesforce and allowing contracts to be accessible via both systems for greater transparency. 

Saving time and costs with eSignature

Beyond instilling greater productivity throughout the business, the flow-on benefit of a digitised workflow is cutting out the paper, ink, scanning time and postage costs. Since implementing DocuSign eSignature, Agilyx Group estimates to be a saving of around AU$54,000 per year.   

Moreover, the flexible pricing model based on consumption rather than licences was a key drawcard for Agilyx in choosing DocuSign over competitor solutions.

“It was the easiest solution to get through executive leadership. We went with an enterprise subscription and we enabled SSO (Single Sign On) and that was very, very good,” Pritchard said. The strategic decision to pivot from paper to paperless with DocuSign is summed succinctly by Matthew: “We’re a tech company, we shouldn’t be setting up paper forms.” Agilyx Group’s and DocuSign’s similar strategic objectives – to enhance operational efficiency, maintain customer confidence, and strengthen document integrity – underscores both companies’ compatibility and commitment to service excellence. “When we launched DocuSign, the question was – why did we not do this three years ago?”, Matthew concluded.
